RunAxis (“we”, “us”, “our”) is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in Schedule 1 of that Act.

This Privacy Policy explains how we collect, hold, use, and disclose personal information when you use the RunAxis platform available at runaxis.com.au (the “Platform”). It applies to all users of the Platform, including business owners, staff members, and clients who book appointments through the Platform.

By accessing or using the Platform, you agree to the collection and use of your information as described in this Policy. If you do not agree, please do not use the Platform.

3. What Personal Information We Collect

Business owners and staff

When you register or use RunAxis as a business owner or staff member, we may collect:

  • Name and contact details (email address, phone number)
  • Business information (business name, address, ABN, business type)
  • Account credentials (managed via Supabase authentication)
  • Booking and schedule data you create within the Platform
  • Financial performance data you enter (revenue logs, expenses, KPI targets)
  • Staff profile information including display name and profile image
  • Payment information (processed by our third-party payment provider — we do not store card details)

Clients and end customers

When a client books an appointment or creates an account, we may collect:

  • Name, email address, and phone number
  • Booking history (services booked, dates, times, business attended)
  • Notes added by business staff regarding service preferences
  • Marketing consent preferences

Automatically collected information

When you access the Platform, we may automatically collect:

  • IP address and browser/device type
  • Pages visited and interactions within the Platform
  • Cookies and session data necessary for the Platform to function

4. How We Collect Personal Information

We collect personal information:

  • Directly from you when you register, complete your profile, or use the Platform
  • From businesses that use RunAxis, who may enter your details when creating a booking on your behalf
  • Automatically through cookies and analytics tools when you use the Platform
  • Via email verification (one-time code) when you sign in to your client account

Where practicable, we collect personal information directly from the individual it relates to. If we collect information about you from a third party (such as a business creating a booking on your behalf), we will take reasonable steps to notify you of this.

We collect and use personal information for the following purposes:

  • To create and manage your account
  • To provide online booking and appointment management services
  • To send booking confirmations, reminders, and cancellation notifications
  • To allow business owners to manage staff performance and financial reporting
  • To communicate with you about your account or our services
  • To improve and develop the Platform
  • To comply with our legal obligations
  • To prevent fraud and ensure the security of the Platform

We will not use your personal information for a purpose other than those listed above without your consent, unless we are required to do so by law.

Service providers (data processors)

We use the following third-party service providers who may handle personal information on our behalf:

Business owners

If you are a client, your personal information (name, email, phone, booking history) is visible to the business whose services you have booked. Business owners and their staff use this information to deliver their services to you.

Legal requirements

We may disclose personal information if required to do so by law, court order, or a government or regulatory authority.

7. Overseas Disclosure

Some of our service providers are based overseas, including in the United States. When we disclose personal information to overseas recipients (Supabase, Resend, Vercel), we take reasonable steps to ensure those recipients do not breach the Australian Privacy Principles in relation to that information.

Each of these providers maintains privacy and security standards consistent with applicable data protection laws. Their privacy policies are linked in Section 6 above.

By using the Platform, you consent to your personal information being transferred to and processed in countries outside Australia, including the United States.

8. Direct Marketing

We may use your email address to send you information about Platform updates, new features, or promotions where you have consented or where permitted by law.

You can opt out of marketing communications at any time by clicking the unsubscribe link in any marketing email, or by contacting us at privacy@runaxis.com.au.

Transactional emails (booking confirmations, reminders, account notifications) are necessary for the Platform to function and cannot be opted out of while you have an active account.

9. Data Security

We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification, and disclosure. These steps include:

  • Encrypted data transmission (HTTPS/TLS)
  • Row-level security controls on our database
  • Authentication controls including email-verified sign-in
  • Access limited to staff and contractors who need it to perform their role

No data transmission over the internet is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security.

10. Data Retention

We retain personal information for as long as necessary to provide our services and comply with our legal obligations. When you close your account, we will delete or de-identify your personal information within a reasonable period, unless we are required by law to retain it for longer.

Booking and transaction records may be retained for up to 7 years for legal and financial compliance purposes.

11. Your Rights — Access and Correction

Under the Australian Privacy Principles, you have the right to:

  • Request access to the personal information we hold about you
  • Request that we correct personal information that is inaccurate, incomplete, or out of date
  • Request deletion of your personal information (subject to our legal obligations)

To make an access or correction request, contact us at privacy@runaxis.com.au. We will respond within 30 days. We do not charge a fee for access requests, though we may charge a reasonable fee to cover costs of providing access in complex cases.

12. Cookies

The Platform uses cookies and similar technologies to maintain your session, remember your preferences, and analyse how the Platform is used. Cookies are small text files stored on your device.

You can disable cookies through your browser settings, but doing so may affect your ability to use some parts of the Platform (including staying signed in).

13. Complaints

If you believe we have handled your personal information in a way that breaches the Australian Privacy Principles, please contact us first at privacy@runaxis.com.au. We will investigate and respond within 30 days.

14. Changes to This Policy
